This policy explains how we process data about visitors to nordicgis.com and people who contact us.

Who is responsible for your data?

nordicgis.com is operated by UAB “Invictus verus”, trading as NordicGIS. The company is the controller of the personal data described here.

When you contact us

Our contact form asks for your name, email address and message. We process these details and subsequent correspondence to respond to your enquiry, discuss your project or prepare a service proposal. The same principles apply to enquiries sent by email. Form submissions are stored in Hostinger and notifications are sent to our official mailbox (show email address).

For general enquiries and enquiries from representatives of organisations, we rely on our legitimate interest in maintaining business communications and responding to questions addressed to us (Article 6(1)(f) GDPR). If you contact us about entering into a contract with you as an individual, we process your data to take steps at your request before entering into that contract (Article 6(1)(b) GDPR).

You choose whether to provide your details. Without contact details or enough information about your enquiry, we may be unable to respond or prepare a proposal. Please include only the information needed to address your enquiry.

How long do we keep enquiries?

We keep your enquiry and related correspondence while handling your request or actively discussing your project. Once the enquiry is resolved or correspondence is concluded, we delete these data within no more than 6 months. Correspondence is considered concluded when we have provided a final response and there are no outstanding matters relating to the enquiry, or when you tell us the enquiry is no longer relevant. This applies to enquiry copies in email and Hostinger form submissions.

If correspondence becomes part of records needed to perform a contract, meet a specific legal obligation or deal with an existing dispute, we retain the relevant data for the period applicable to that record or procedure. Once that obligation or procedure ends and there is no other basis for retention, we delete the data. This exception does not extend to unrelated correspondence.

Cookies and website analytics

Cookies are small data records stored in your browser. Necessary cookies support website operation and remember your privacy choices. You can accept or reject optional analytics cookies.

We use Google Analytics and Hostinger website analytics to understand how visitors use our website and improve its content and usability. Analytics may process a browser identifier, pages visited, visit times, website interactions, device and browser information, and approximate geographic location. These data are not necessarily anonymous.

We use optional analytics with your consent (Article 6(1)(a) GDPR). Consent is optional and you can use the website without giving it. You can accept or reject analytics in the cookie preferences panel and withdraw consent by changing your cookie settings. Withdrawal does not affect the lawfulness of processing carried out before it.

Under our Google Analytics settings, event data are retained for 2 months and user data for 14 months. The user data retention period resets when the user becomes active again. These settings do not affect most standard reports based on aggregated data. Analytics data retention is separate from a cookie’s lifetime in your browser.

Website service providers

Hostinger provides our website hosting and contact form. Email services process data when enquiries are sent and received. Google Analytics data are processed by Google Ireland Limited and its service providers.

These providers use international infrastructure, so data may also be processed outside the European Economic Area, including in the United States. Transfers are subject to safeguards in the relevant data processing terms, including European Commission standard contractual clauses where applicable. Your rights

Under the conditions set out in the GDPR, you may request access, correction, erasure, restriction or portability of your data. You may object to processing based on legitimate interests for reasons relating to your particular situation. You may withdraw consent where processing relies on it.

Contact us by email (show email address) to exercise your rights. We will respond within one month; complex or numerous requests may require up to two additional months, with notice to you. If we have reasonable doubts about your identity, we will ask only for information needed to confirm it.

You may lodge a complaint with Lithuania’s State Data Protection Inspectorate.

Policy updates

We will update this policy if the website or our data processing changes. We will inform you before using your data for a new purpose.
